To support the effective use of human resources by investment trust management companies, we also provide practical outsourcing solutions for the preparation of statutory disclosure documents.

FDS (Fund Document System) Investment trust support system

System overview

FDS is an investment trust document preparation support system developed by PRONEXUS for the purpose of reducing operational workloads mainly in the form of document preparation by investment trust management companies. It incorporates concentrated proprietary know-how derived from insights into the streamlining of disclosure document preparation drawn from the PRONEXUS WORKS listed company disclosure support system, combined with analysis of the structure and characteristics of investment trust documents.
Its objective is to increase the efficiency of document preparation and prevent errors through such measures as providing version control to preserve the latest situation at all times, storing fund documents in a database to enable data integration and batch updates, removing the need to communicate with vendors in order to enhance speed of response, and enabling simultaneous login by multiple users.

Documents that can be handled

・Documents for submission to EDINET securities reports, securities registration statements, etc.

・Documents for investors summary prospectuses and full prospectuses

System features Increased efficiency of document preparation and prevention of errors

  1. Centralized management of data for enhanced reliability.
  2. Setting of editing privileges by type of external access and for each item to strengthen administration and security.
  3. Reductions in time spent on communication (higher speed) with the vendor (printing company) enable significant shortening of timelines (revisions right up to the submission date) in the case of prospectuses.
  4. Strengthens coordination between parties in charge and departments through the sharing of information (content and schedules).
  5. Use of database (organized by heading for all funds) mitigates burden of proofreading (shared revisions and maintenance) and reduces workload at busy periods.
  6. Reduces time spent on operational tasks (data entry), enabling those involved to focus on decision-making regarding the content.

Service format ASP service tailored to investment trusts

Deployment of FDS does not incur any system development costs for customers.
Because the system is accessed via PRONEXUS servers, customers do not need to manage or operate their own servers.

Overview of main functions

(1) Word-like input/editing screen (user interface)

This reduces time lost in making correction requests to vendors and in PDF proofreading.

*Examples of features for prospectuses

(2) Revision history and other data management

Comparison between version before revision and latest version always shown
⇒ Enables user to instantly grasp when and where a revision was made, and by whom.

*Shared features for securities reports and prospectuses
  • Simultaneous editing by multiple users is possible.
  • Always updated to the latest version.
⇒ This enables the prevention of errors caused by the existence of new and old files or multiple files.
  • All fund documents are stored in the database, enabling batch updates to items shared by multiple documents.
⇒ This results in reduced workload and verification burden for common updates, such as system changes, and also helps prevent omissions.

Benefits provided by this service

Reduction in time and workload spent on document preparation, and enhanced reliability (reduction in human tasks)

Document preparation requires significant time and human resources, driven by such factors as increases in the number of funds, changes in content caused by system changes and diversification of product schemes, the need to prepare documents in a short time at times of the year when many companies close their accounts, or when setting up new funds, and the increased workload in confirming consistency between documents and funds. These requirements are reduced by FDS (systemization).
Through automatic updates to financial results data, and automatic updates to date information and other content shared between multiple documents, the system significantly cuts manual work and data entry associated with update operations following routine revisions.

PRONEXUS has positioned FDS as an investment trust disclosure platform, and is taking steps to expand the support it provides with a focus on preparation of statutory documents for investment trusts. Going forward we will actively promote solutions to the various issues faced by our customers, such as by providing easily understood information in digital format, and through services that extend disclosure data to various documents and content.

Outsourcing of document preparation using FDS

PRONEXUS utilizes the FDS system for supporting investment trust document preparation, which it developed in-house, to offer outsourcing services for document preparation. In this way we support improvements in operational efficiency by investment trust management companies, and more strategic use of their human capital.
